ESSENTIAL DUTIES AND PRIMARY JOB PURPOSE

Assists the Operations Manager in running all Sheltering Programs, (Adoptions, Surrenders,Kennels), procedures and resources on a daily basis. Trains, supervises, and evaluates sheltering program staff members. Regularly reviews and assists Executive Director and Operations Manager in updating each Sheltering Program department’s guidelines ensuring compliance with local, state and federal regulations and the mission of the organization. Makes recommendations and executes animal euthanasia decisions with recommendations from support staff.

REPRESENTATIVE TASKS & MAJOR RESPONSIBILITIES

  1. Is responsible for the daily supervision of all Sheltering Program departments and subordinate staff. Assists in the hiring and training of new sheltering program staff and regularly reviews and evaluates job performance. Responsible for assuring that proper policies and procedures are followed in all departments. Addresses employee grievances and complaints with Operations Manager.
  2. Ensure the humane care and treatment of animals at all times.
  3. Evaluates daily census of animals. Confers with Operations Manager or department supervisors to make the decision on which animals are to be euthanized. Ensures animals are euthanized in a humane and ethical manner. Oversees procedures and staff training.Evaluates staff for signs of compassion fatigue. Provides compassion fatigue information.
  4. Assists Sheltering Program departments in daily tasks as schedule requires.
  5. Enforce shelter Standard Operating Procedures and employee manual.
  6. Ensure daily checklists for all departments are completed. Follow up on staff execution of duties. Identify problems in completing tasks.
  7. Evaluate and review staff based on VHS policy and recommend salary changes and merit increases for supervised staff as appropriate.
  8. Supervise and train staff to competently use the computer operating system to maintain accurate data in all departments.
  9. Oversee and maintain the Foster Care and Rescue program, including record keeping. Ensure that foster parents are provided with detailed information, instructions and supplies for shelter animals in their care. Maintains relationship with area rescue and animal welfare groups. Coordinates transports of animals.
  10. Coordinate with Operations Manager the temperament testing of shelter animals.
  11. Maintain and order for inventory of department supplies.
  12. Maintain strict confidentiality of client, patient and donor information. Demand Confidentiality from all sheltering program staff. Ensure proper and safe storage of paper and electronic medical records.
  13. Responds to customer complaints about employees and organization procedures. Assists customer service representatives when dealing with difficult situations. Notifies OperationsManager of potential problems.
  14. Analyzes statistical data to develop new strategies, figure projections, and determine trends in animal intake and adoptions. Develops and conducts research projects. Regularly compiles and presents reports to the executive director on organization operations and activities.
  15. Participate in approved continuing education programs relevant to job function and seek continuing education opportunities for shelter program staff. Continuously institutes staff training and development programs to assure staff is aware of new and revised policies,procedures, rules and regulations.
  16. Works in conjunction with other VHS departments, (Special Events etc.) when assistance is needed from Sheltering Program.
  17. Coordinate with Clinic Manager to assure VHS animals fit into surgery schedule and pre and post operative instructions are followed.
  18. Be respectful of coworkers and treat subordinate and supervisory staff, clients, volunteers and patients in a professional manner.
  19. In the absence of the Operations Manager, fill in duties accordingly.
  20. Perform all other duties as required by the Executive Director and Operations Manager.

Preferred Skills

QUALIFICATION REQUIREMENTS:

  1. Demonstrates supervisory knowledge to include training methods, motivation and decision making techniques. Skill in mediating disputes, conflicts and grievances. Ability to train and effectively direct the activities of shelter program supervisors and staff.
  2. Demonstrates program management knowledge to include basic statistical methods, fiscal and budgetary practices, knowledge of local, state and federal regulations for the workplace.
  3. Ability to build alliances with community organizations and agencies. Ability to establishand maintain effective working relationships with vendors. 
  4. Demonstrates personal communication skills to include knowledge of interviewingtechniques, public speaking, skill in writing and editing and ability to express thought in aclear manner.
  5. Previous animal care industry experience desired.
  6. Holds certification in euthanasia techniques or is willing to obtain.
  7. Computer skills to include: Microsoft Word, Excel & Outlook. Willing to train on othershelter related software.

Education and experience required:

  1. High School Graduate
  2. Experience in supervisory / management position.
